With the latest enhancements, we are taking the XENTIS document management system (DMS) to a new level. The new features ensure that your reports and documents are exactly where they belong – without detours and with maximum findability.

FINAL reports automatically in the DMS

FINAL reports can now be stored directly in the DMS without any manual intermediate steps and displayed in XENTIS under the appropriate object. There are two ways to do this:

Automated: Scheduled jobs transfer generated reports directly to the DMS. On request, defined document attributes (keywords) can also be supplied – for clean filing and targeted searches.

Ad hoc: You can upload your documents during report creation using the new FINAL command SENDTODMS – simply activate the checkbox.

Your added value: Consistent processes without media breaks significantly reduce the manual effort involved in filing. Uniform indexing also ensures that all documents are much easier to find. At the same time, your reports are available in an audit-proof format and directly in the relevant fund or portfolio – at any time and without additional search effort.

Documents for fund and portfolio groups

With the new version 6.1.006, reports can now be assigned directly to fund groups and stored there in the DMS. These documents are displayed centrally in the group detail mask. If desired, the "Include fund/portfolio documents" option also displays all documents of the currently assigned members.

Your added value: All group-relevant documents are available at a glance – ideal for collective reporting and clearly structured compilations that promote both clarity and efficiency.

Better usability and faster search

The revised search function based on document properties makes finding relevant documents easier than ever:

The new structure divides the search criteria into clear tabs: General for static properties, Metadata for customer-specific features and Extended for object-specific options. Thanks to consistent filters, all properties originate centrally from the configuration, making searches uniform and reliable. For greater visibility, the attachment icon in the document tab immediately shows whether documents are available for an object. In the transaction search, a new column also indicates which postings a document – such as a receipt – is linked to.

Your added value: With fewer clicks and faster orientation, you can quickly find the information you need. This makes it much easier to verify relevant data, while uniform and consistent filtering provides additional clarity.
