Portfolio Management and Execution

Portfolio Management & Execution

Optimise your portfolios with automated analysis, rebalancing and efficient order management

Portfolio management software is a system that enables institutional investors to analyse their portfolios, align them with target structures and execute the resulting orders in full compliance with the applicable rules. XENTIS Portfolio Management & Execution from Profidata combines portfolio analysis, rebalancing, pre-trade compliance and order workflows with matching and settlement on a single, shared database.

Where portfolio managers, traders and compliance officers would otherwise juggle separate systems and manual reconciliations, XENTIS creates a seamless end-to-end process – from initial analysis to settled transaction. Profidata, founded in Switzerland in 1985, currently supports more than 50,000 funds and mandates with a combined volume of over €4.5 trillion.

Portfolio Management & Execution

Deeper insight, better decisions

XENTIS enables dynamic asset allocation, portfolio construction and precise benchmarking analyses. Thanks to look-through functions and real-time data reconciliation, you can maintain an overview of your strategic allocation at all times and flexibly adapt portfolio structures to market changes.

Through rebalancing mechanisms, the portfolio management software optimises portfolio alignment. Investment proposals and pre-trade checks ensure that trading decisions comply with regulations and make strategic sense.

XENTIS’s Investment Book of Records (IBOR) ensures a consolidated view of all portfolio data. This improves the accuracy of analysis, increases transparency and supports audit-proof compliance with regulatory requirements and internal control mechanisms.

Keep track of your trading activities in real time. The order blotter provides a detailed overview of open, executed and cancelled orders. Precise trade allocation ensures that every order is assigned correctly, whilst the order book provides full transparency regarding market movements and executed trades.

XENTIS ensures seamless order processing through automated matching and settlement. The solution checks all trades, carries out system-supported reconciliations and reduces the risk of discrepancies or misallocations in the trading process.

With pre-trade checks, the portfolio management software ensures that all orders comply with the defined investment guidelines and regulatory requirements. The market compliance check provides additional protection against trading risks and enhances investment security.

For your business

Portfolio management software for institutional investors

What is portfolio management software – and how does it differ from OMS and EMS? Portfolio management software supports investment decisions: it shows how a portfolio is structured, how it has performed and where it deviates from its target allocation. An Order Management System (OMS) handles the next step: capturing, checking, pooling and monitoring orders. An Execution Management System (EMS) connects the trading desk to trading venues and counterparties.

In many institutions, these three tasks are spread across separate systems, often from different providers. Every handover between them represents an interface, and every interface is a potential source of error: holdings must be reconciled, orders transferred and check results consolidated. XENTIS Portfolio Management & Execution combines the functions of a PMS and an OMS and takes orders all the way through to matching and settlement – on the same platform and using the same database.

Investment processes in XENTIS

From analysis to settlement

In XENTIS, an investment decision passes through every key internal process step on a single integrated platform – without manual hand-offs between portfolio management, order management and investment compliance.

1. Analysis: The portfolio manager analyses holdings, valuations and key metrics, both current and historical – for individual portfolios, carve-outs or consolidated views, across all common asset classes and with look-through. Cash flow projections support liquidity planning by analysing future account movements by value date.

2. Target vs actual comparison: Strategic and tactical asset allocation targets, together with their tolerance bands, are monitored continuously.

3. Rebalancing or quick order: Deviations are corrected via automatically generated order proposals, or the portfolio manager enters an order directly (in units, nominal or percentage terms, either as an order quantity or as a target value). Alternatively, orders can be imported using predefined Excel templates.

4. Pre-trade compliance: Before it is released, every order is automatically checked against the rules defined in the compliance module.

5. Order workflow: Checked orders are captured, pooled where necessary and monitored in the order dashboard; the order blotter shows open, executed and cancelled orders.

6. Execution: Orders are transmitted automatically to market participants via SWIFT, FIX or email; trading platforms such as Bloomberg EMSX, TSOX and FXGO can be integrated.

7. Matching and settlement: Executed trades are automatically matched, allocated and passed on for further processing in the XENTIS middle and back office.

Because every step draws on the same database, everyone sees the same picture – the portfolio manager as well as compliance, trading and the back office.

XENTIS Portfolio Management

From reliable data to informed decisions

The Investment Book of Record (IBOR) is the data source on which XENTIS Portfolio Management & Execution operates. Trading transactions, corporate actions and price changes are continuously fed into the IBOR, ensuring that the front office always has access to up-to-date portfolio data.

For the portfolio manager, this means: time-consuming manual portfolio reconciliations are eliminated, decisions are based on the actual status, and operational risks are reduced. Within the organisation, the front, middle and back offices no longer need to discuss differing figures, but can work with a consistent, audit-proof database.

The data fields used in reports and analyses can be expanded without assistance from the software manufacturer. Using a modelling tool, users can create their own reports tailored to their specific needs and adapt the order workflow to their processes.

Every order is preceded by a question: where does a portfolio deviate from its target allocation, and why? XENTIS continuously compares the actual portfolio with the strategic and tactical target values of the asset allocation and monitors the defined ranges. Benchmarks, model portfolios or asset allocation structures serve as the target structure; once set up, they are used for comparison in all analyses.

The analyses follow the ‘slice and dice’ principle: portfolio managers are free to choose whether to view a single portfolio, a carve-out or a consolidation, and whether to view current or historical data as at any given reference date. Holdings, valuations and key figures are sourced in real time from the IBOR and cover all common asset classes; for funds, this includes look-through to the underlying positions. In addition, cash flow projections enable the analysis of future value-dated account movements, thereby supporting forward-looking liquidity planning. Analyses can be exported to Excel via an API as required.

The analysis leads directly to action. Deviations from the target structure can be corrected using automatically generated order proposals, whereby parameters such as minimum deviation and minimum amount are taken into account and target quantities are rounded to tradable sizes. Alternatively, the portfolio manager can create a Quick Order directly from within the analysis. Using a modelling tool, users can also design their own views and reports for their investment process.

In XENTIS, every order generated in portfolio management automatically undergoes a pre-trade compliance check before it is forwarded. This is based on the validation rules of the integrated investment compliance module; both individual and batch orders are checked. To meet regulatory requirements, Profidata provides country-specific rule sets, which are continuously updated to reflect changes.

Switzerland: KKV, KKV-FINMA, BVV 2, FinfraG, AVO

Germany: KAGB, DerivateV, InvStG, WpHG, AnlV

Luxembourg: UCITS, AIF, SIF

Austria: InvFG incl. DeriRiMV, WPV, PKG, BMSVG

Liechtenstein: UCITSG, UCITSV, AIFMG, AIFMV

Ireland: UCITS Notices, AIF Rulebook

EU: MMF

In addition to statutory requirements, the ruleset also reflects contractual and internal investment guidelines, such as exclusion lists or fund- and mandate-specific limits. Configurable workflows are available for limit breaches, and the dual-control principle can be embedded within the order workflow. Following execution, post-trade compliance takes over ongoing monitoring.

XENTIS calculates performance at the level of individual funds and mandates, consolidated portfolios, benchmarks and freely definable categories such as carve-outs. Positions can be analysed in both position and valuation currencies, whilst gross and net views can be defined with fine granularity.

The three standard calculation methods are available: time-weighted return (TWR), money-weighted return (MWR) and internal rate of return (IRR). Performance contribution and performance attribution show which positions and decisions have contributed to the result – the basis for not only measuring but also understanding an investment strategy.

An integrated platform or a fragmented system landscape?

Whether an integrated platform pays off is decided at the hand-offs between process steps. In a fragmented landscape, separate systems from different providers handle portfolio management, order management, compliance and accounting. In XENTIS, these steps all access a shared database.

A fragmented landscape can make sense if a financial institution deliberately combines individual specialised systems and takes responsibility for the integration itself. However, the greater the number of mandates and the stricter the requirements for control and traceability, the greater the advantages of a shared database.

Fragmented system landscape

Integrated XENTIS platform

Portfolio positions are reconciled between front- and back-office systems
The IBOR provides all departments with the same up-to-date holdings
Orders are transferred via interfaces to separate order and compliance systems
Orders undergo pre-trade compliance checks and pass through the order workflow within the same system
Every interface has to be maintained with each release and rule change
With each release, the entire process chain stays in one provider’s hands
Check results and the audit trail are spread across multiple systems
All changes are recorded in a fully auditable manner within a single system
New requirements call for adjustments across multiple systems
Data fields, reports and workflows can be configured without the need for vendor support

Case study

Integrated portfolio management at Pax Asset Management

Basel-based Pax Asset Management AG (Pax AM) has selected XENTIS as its central front-to-back platform for portfolio management, investment controlling for its insurance business and fund administration. The aim was a fully automated system landscape that meets the highest regulatory standards and reduces operational risk.

Following a software evaluation conducted between October 2020 and August 2021, Pax AM chose XENTIS, operated by Profidata in its private cloud (Xcloud). The decision was announced in March 2022. The evaluation focused in particular on portfolio management, reporting and regulatory reporting, accounting under Swiss GAAP FER and the Swiss Code of Obligations reconciled with the SAP general ledger, and the integration of the existing custodian banks and of Bloomberg as the primary market data provider.

With the integrated solution, Pax AM set out to raise the quality of its investment processes, reduce technical complexity and increase the level of automation. At the time of the announcement, Pax AM managed around CHF 9 billion in assets.

“The introduction of XENTIS as an end-to-end front-to-back solution not only fulfils the explicit objectives of automation in portfolio management, pre-trade control, electronic trading and execution, and performance monitoring, but also the implicit objectives of Pax AM: improving quality, reducing (technical) complexity while increasing the level of automation, and avoiding operational risks.”

Who XENTIS Portfolio Management & Execution is designed for

XENTIS Portfolio Management & Execution is designed for institutional financial service providers with complex investment processes, including asset managers, investment management companies, fund management companies, banks, insurers and pension funds. It offers the greatest benefit to institutions that manage many funds and mandates in parallel and want to run portfolio management, compliance and settlement from a single source.

The solution can be operated either in the private cloud or on-premises. Access rights can be configured at a granular level, down to individual functions and data objects, and every change is recorded completely and auditably. Thanks to its modular design, institutions can start with selected modules and extend the scope of functionality later.

“In portfolio management, quality is rarely determined by a single function, but by whether everyone involved is working with the same figures. When portfolio managers, compliance and the back office all draw on the same up-to-date holdings, time-consuming reconciliation between departments simply falls away. And that is precisely the strength of XENTIS: an investment decision becomes a checked, executed and cleanly settled transaction – without detours.”

What matters when choosing portfolio management software

The right portfolio management software is the one that fits your own processes, mandates and regulatory obligations. These nine questions will help you evaluate the options, regardless of vendor:

1. Data basis: Does the front office work with continuously updated holdings data, or are daily reconciliations with the back office required?

2. Asset classes: Are all relevant instruments covered, including derivatives, funds with look-through and alternative investments?

3. Rebalancing: Can model portfolios and benchmarks serve as target structures, and does rebalancing work across many mandates at once?

4. Compliance: Is the pre-trade check embedded in the order workflow, and does the rulebook cover your jurisdictions?

5. Trading integration: Which connections to brokers and trading platforms are supported, e.g. FIX, SWIFT or Bloomberg EMSX?

6. Configurability: Can business users adapt data fields, reports and workflows themselves, without relying on the vendor?

7. Traceability: Are all changes logged in a fully auditable way, and can access rights be managed at a granular level?

8. Operation and implementation: Which operating models are available, and which reference projects demonstrate a realistic implementation timeframe?

9. Excel integration: Can analyses be exported to Excel via an API, and can orders be imported using predefined Excel templates?

In-depth knowledge

Frequently asked questions

Portfolio management software is a system that enables institutional investors to analyse their portfolios, align them with target structures and execute the resulting orders in compliance with regulations. It shows how a portfolio is structured, how it has performed and where it deviates from its target allocation. XENTIS Portfolio Management & Execution from Profidata combines these tasks with pre-trade compliance, order workflows, matching and settlement on a single data platform.

Portfolio management prepares the investment decision: it analyses holdings, compares them with the target structure and generates order proposals. Order management implements this decision and controls the entry, compliance checks, bundling and monitoring of orders. In XENTIS, both areas run within the same system, so that an order passes from the portfolio manager into the order workflow without the need for an interface.

XENTIS maintains all holdings in the Investment Book of Record (IBOR), which continuously records trading transactions, corporate actions and price changes. Portfolio management, compliance, trading and back office all access the same holdings. Manual reconciliations between front and back office are no longer necessary, and all changes are logged in an audit-proof manner.

XENTIS continuously compares a portfolio’s actual structure with strategic and tactical target values for asset allocation and the defined ranges. Deviations are corrected via automatically generated order proposals. Reference portfolios, model portfolios or benchmarks can be used as the target structure, and order parameters such as minimum order value, minimum percentage deviation or rounded target quantities are incorporated into the proposals. Rebalancing can also be carried out across multiple portfolios simultaneously.

In XENTIS, every order is automatically checked against the investment rules stored in the compliance module before it is authorised. The set of rules covers statutory, contractual and internal investment guidelines and includes regulatory rule sets for various jurisdictions. In addition, XENTIS supports post-trade checks, the simulation of rule changes and structured breach management.

XENTIS supports all common asset classes, including equities, bonds, derivatives, structured products and funds with look-through to the underlying positions. Alternative investments can also be systematically recorded, valued and analysed, supplemented by flexible NAV calculations and commitment tracking.

XENTIS automatically transmits orders to brokers and counterparties via SWIFT, FIX or email and can integrate with trading platforms such as Bloomberg EMSX, TSOX and FXGO. Executed trades are reconciled automatically or manually in several stages; orders and positions are updated immediately after execution and processed further in the middle and back offices.

XENTIS calculates performance at the level of individual funds and mandates, consolidated portfolios, benchmarks and freely definable carve-outs. The methods available include Time-Weighted Return (TWR), Money-Weighted Return (MWR) and Internal Rate of Return (IRR). Performance Contribution and Performance Attribution show which positions and decisions have contributed to the result.

Yes. Analyses from XENTIS can be exported to Excel via an API if required, and orders can be imported using defined Excel templates. This allows you to retain tried-and-tested working methods, whilst orders still go through the pre-trade compliance and order workflow in XENTIS.

The implementation timeframe depends on the scope of functionality, the number of mandates and the existing system landscape. At NORD/LB Asset Management AG, now Warburg Invest AG, XENTIS was implemented within ten months and replaced numerous siloed solutions. XENTIS can be operated either on-premises or in Profidata’s private cloud (Xcloud). Thanks to its modular design, you can start with individual modules and expand the scope of functionality at a later date.
